From four weeks to two: how Bovemij models processes with ModelMatic AI

As a Process Specialist at Bovemij, Céderique Ortmans maps complex processes and turns them into clear process descriptions. It is exactly the kind of work that eats time: interviews with stakeholders, drawing a process model, validating it, adjusting it and finally writing it up into a document the organisation can work with. The challenge: complex processes captured fast and complete

Bovemij works with processes that are genuinely demanding. One of the projects Céderique modelled with AI process modeling in ModelMatic was the claims payout process: a process with multiple payment flows, authorisations and control steps, spread across different departments and systems. On top of that, the process sat relatively far from his own day-to-day work.

With that type of project, speed is hard to combine with completeness: how do you get all the steps, decisions and exceptions into a process diagram without spending weeks on it?

The approach: from interview to BPMN model with ModelMatic

Céderique uses ModelMatic as AI BPMN software to move straight from stakeholder conversations to a working process model. He interviews the colleagues who run the process, lets ModelMatic generate a first BPMN diagram from it, and then refines that together with the people involved. The overall flow, the decision points and the splits are already in place; he adds the finishing touches to the structure and then exports the model as a .bpmn file following the open BPMN 2.0 standard. What makes the process so pleasant is that modelling and validating flow into each other. Because he can show what he is drawing during a session, a short iteration with stakeholders replaces a long series of separate review rounds.

The result: from four weeks to two

The biggest gain is lead time. A process description that would normally take Céderique around four weeks, he now produces with ModelMatic in roughly two.

“A process description that normally takes me about four weeks, I finish with ModelMatic in roughly half the time. It goes faster because I need less consultation and get a clear picture sooner.”

That saving shows up in several places. A group session with four stakeholders easily saves around eight hours, because he can keep the sessions shorter and more focused. Each validation round saves about two hours, simply because there is already a worked-out draft to walk through together. And where he used to need a first interview plus multiple review sessions, a process is now often done after two or three sessions.

Just as important is the quality of that first version. Céderique estimates the “first-time-right” of the generated model at around 80 percent.

“The first version is already largely correct, I would say around 80 percent. The main flows and the decisions are immediately right, and compared to earlier versions that is real progress.”

Faster alignment with stakeholders
